Azlan reconciles cash QR payments and bank transfers after a mobile car wash shift

Cash, QR and Bank Transfers: Why Your Daily Sales Never Match

This story is an illustration based on situations commonly faced by small business owners.

Azlan runs a mobile car-wash service around several condominiums in Kuala Lumpur. Customers pay him in three ways: cash, QR payments and bank transfers. Business looks busy, but when he checks his bank balance at night, the total rarely matches the sales he remembers making.

One Saturday, Azlan washed 18 cars at RM35 each. His expected sales were RM630. He counted RM175 in cash and saw RM315 in QR payments. Another RM105 had arrived by bank transfer. The total was only RM595. He was short by RM35—the value of one car wash.

A missing record can look like missing money

Azlan first suspected that a payment had failed. After checking his messages, he discovered that one customer had promised to transfer later, but he had written the job as paid. The money was not stolen or spent. It had simply never been collected.

When several payment methods are mixed together, memory is not enough. Cash may be used to buy supplies, QR settlements may arrive later, and transfers may carry unclear references.

Use one daily sales record

  • Record every job as soon as it is completed.
  • Write the amount and payment method: cash, QR or transfer.
  • Mark the payment as received, pending or refunded.
  • At closing time, compare each column with the cash in hand and the relevant account.

Azlan then created three payment columns in one simple daily record. He also stopped using business cash for personal purchases before closing the day. Within a week, he could identify pending payments immediately and knew exactly how much each location earned.

Try this for seven days

For the next seven days, record every sale together with its payment method and status. Reconcile cash, QR and bank transfers before you finish work. If there is a difference, investigate it on the same day while the details are still fresh.

Bring every payment into one clear record
